The Diocese of Gaylord is searching for an Administrative Assistant to the Bishop to perform confidential and diverse administrative assistance and secretarial duties for the Bishop, to include time management and developing overview for long-range planning regarding meetings, travel, and other activities, assists the Bishop in all intra-organizational activities.  Must maintain a very high degree of confidentiality.  major areas of responsibility include:  acting as the Bishop’s liaison in carrying out his administrative responsibilities; taking and transcribing minutes for Bishop’s meetings with the Presbyteral Council, Vicars/College of Consultors, Diocesan Finance Council, Priests’ Retirement Fund Board, Diocesan Staff, Diocesan Directors, and others as requested; developing, coordinating and maintaining business/personal schedules for the Bishop of the Diocese of Gaylord; researching and completing special projects, to include the Annual Catholic Directory, Annual Questionnaire forms from the national office, priest assignment process; serving as resource staff to the Vicar General and Vicar for Clergy.

Specific Responsibilities include:  facilitating information between the Bishop and priests/pastoral administrators, internal/external diocesan personnel, pastoral leaders, parish staff, community/business leaders and the community-at-large; to serve as notary public and ecclesiastical notary; to verify and sign diocesan checks; to initiate and generate meeting agendas, to prepare materials for meetings as needed by the Bishop; to schedule Bishop’s meetings, travel and other activities, in consultation with the Bishop; to perform other tasks as assigned.

Successful candidate should have an Associate’s Degree plus minimum five years’ experience in executive secretarial and/or office management.   Must be able to communicate verbally and in writing to interact effectively with management, employees, peers and the general public.  Must have broad knowledge of organizational operations and policies to include the Standard Operating Procedures and Orientation Packet and a high level of discretion and integrity to keep confidential all information related to the organization.  Must be able to organize, prioritize and work independently.
